Executive Secretary

Position: Executive Secretary
Responsible To Executive President

POSITION SUMMARY:
The Executive Secretary maintains current and historical written records of the Association; administers the Julie Schmid Research Scholarship Fund; chairs the national membership committee; and provides support for Association initiatives and strategic planning.

Qualifications
Active Association membership for at least four years unless waived by the executive president; employed in the field of occupational health in healthcare; interest and/or experience in continuing education; access to clerical and/or computer support; and an employee health role model for the Association.

Term of Office:
Two years; maximum two consecutive full terms.

Duties and Responsibilities

  1. Assists headquarters with the recording and review of minutes of annual Association meeting and executive board of director meetings.
  2. Assists headquarters to ensure the distribution of minutes to the executive board of directors within thirty (30) days of meeting dates.
  3. Maintains historical records to include, but not limited to, Association and chapter bylaws and any other printed matter directly related to the professional activities of the Association and/or individual member.
  4. Assists with executive board of directors' correspondence whenever necessary.
  5. Notifies the membership by mail or Journal announcement of annual or special meetings no less than thirty (30) days prior to the date of that meeting.
  6. Coordinates with the executive director the mailing of proposed bylaws amendments to all active members’ thirty (30) days prior to the annual meeting and ensures outcome is communicated to the members via the Journal and during the annual association meeting.
  7. Administers the Julie Schmid Research Scholarship Fund.
  8. Assists the continuing education chairperson in administering continuing education credits as deemed indicated. Serves as a member of the Planning Committee for Continuing Education and completes the Faculty-Directed Program Review Form as needed.
  9. Reviews/revises/updates the membership marketing packet and executive board manual every 2 years and as needed.
  10. Chairs the national membership committee and coordinates the national recruitment effort with the regional directors.
  11. Orients and acts as a mentor to the incoming executive secretary.
  12. Serves on the OSHA Alliance implementation team and maintains records of meeting minutes.
